Moving and Deleting Documents

Users currently assigned to a case can see, move, and delete documents on the case.

Users who can see a case, but are not currently assigned, can see the documents on the case, but cannot move the documents unless they are the owner (shown as Created By), and cannot delete documents on the case.

There are 4 user role permissions that affect documents:

  • Document: Administer: This is the highest level of document access, acting essentially as a "superuser" permission for the document system.
    • Global Access and Editing: It grants a global bypass to view and edit any document in the system, regardless of who created it or what case it is attached to.
    • Deletion: It implicitly grants the ability to delete any document or document folder (and can override certain deletion blocks, such as those caused by associated templates).
    • Administrative Settings: Only users with this permission can access document configuration and templating interfaces. This includes things like:
      • PDF Document Form Templates mapping
      • Automatic Archive Settings
      • Integrations and template configurations for tools like Docassemble and Gavel.
  • Document: Edit All: This permission is much more scoped than an administrator but allows broad day-to-day management of document records.
    • Global Access and Editing: Like the admin permission, it grants global access to view and edit the properties/details of any document in the system.
    • No Deletion: It specifically does not grant the right to delete documents.
    • No Administrative Access: It does not grant access to configure PDF mappers, templates, or system-wide document settings.
  • Document: Delete: This is a targeted permission that solely controls the ability to delete document records.
    • Deletion: It grants the user the ability to delete documents and bypass certain basic deletion checks.
    • Relationship to Administer: The Administer permission already implicitly includes this ability. However, the Delete permission is useful when you want to allow a specific user role to clean up and delete documents without handing them the keys to edit system-wide document templates or configuration settings.
  • Document: View Deleted Log: This permission allows access to the Admin > Deleted Documents page.
