How are Case Numbers Assigned?

When you start a new matter record (Prescreen or Intake), LegalServer creates a case number, like 22-0012345.

The first two digits are the last two digits from the Prescreen Date or Intake Date.

The numbers after the dash are an ID generated by LegalServer.

When I first start a prescreen or an intake, there isn't a case number. When does one get created?

LegalServer generates the case number when you successfully submit the first (or only) step in the prescreen or intake process.

Can I change a case's case number?

No.

I started an intake in 2023, but the case number is 22-0012345. Why?

Because someone entered 2022 as the year in the Intake Date field (or Prescreen Date field).

Follow up question - can I change the number to 23-0012345?

No, you can't edit the case number. If you have a burning desire/need to have a "23-" case number, you'll need to reject the current intake/case and redo the intake with the correct Intake Date year.

So case number is actually a text field?

Yes.

Nerd Tip: The number after the dash in a case number is the number you see in the URL when viewing a case (without leading zeros). Exceptions are imported cases where we kept your previous case management system's case number.

Is the ID part of a case number guaranteed to be sequential with no gaps? IDs are sequential, but can have gaps.

We want our case numbers to include an office abbreviation, phase of the moon, initials of the person who started the case, etc. Can we do that?

No.
