Smart Time
Smart Time is a new feature designed to help you efficiently track and manage your time entries within Legal Server. It acts as an intelligent assistant, suggesting potential time entries by analyzing your recent activities and comparing them against your existing time slips.
Cost and Requirements: See LegalServer AI and Machine Learning Features
Using Smart Time
Site administrators may have provided Smart Time on your site, for example as an additional tab on the main Timekeeping page.
You can also access a hidden page by adding "/service/smart_time" to the end of your site's URL. If you worked at Quality Legal Services, you would enter "https://qualitylegal.legalserver.org/service/smart_time".
How Smart Time Works
Smart Time reviews your Legal Server activities, specifically focusing on:
- Case Notes: It examines your case notes for mentions of interactions or work that might indicate time spent on a case, such as "talked to the client".
- Legal Server Calendar Events: It cross-references your Legal Server calendar for scheduled events, like meetings or appointments, that may require a corresponding time entry.
By looking at these sources, Smart Time helps identify any potential missed time entries, making it easier to ensure all your billable or tracked hours are accounted for.
Understanding the Smart Time Interface
The Smart Time interface is designed to be clear and intuitive, providing you with a concise overview of suggested time entries.
- Suggestions List: The primary display presents a list of potential time entry suggestions. To generate these suggestions, you need to have case notes or calendar events in LegalServer for the system to analyze.
- Configurable Processes: The system defaults to showing all active timekeeping processes. Site administrators have the ability to adjust this to show only select processes.

For Administrators
Feature Availability
Smart Time is part of the Legal Server machine learning tools. If machine learning is enabled on your site, Smart Time will be available for use. It utilizes your site's configured AI model.
Required Settings
You will need to add the number of hours a worker should enter each day. To do this, access your site's Timekeeping Settings.
You'll see the following fields:
NOTE: if ‘FLSA Exempt’ is answered and is 'No' for the user being analyzed, and hours are more than ‘max hours before warning’ in a day, Legal Server will issue a warning in the mini calendar or listview that the worker may have worked overtime. This means that a non-exempt worker has worked too many hours and may be owed overtime.
If your site has AGM enabled, the listed fields will appear with many other fields in the Pay Periods section.
Showing Users the Feature
Smart Time can be added to the Actions menu on dynamic Timekeeping section fronts.
The Smart Time block can be placed on a tab on a dynamic Timekeeping section front, for example:

Users can also use the manual URL mentioned above abc.legalserver.org/service/smart_time.
