Reports - Seemingly Duplicate or Repeating Rows

This typically manifests itself in a Case Data report that repeats a case over multiple rows.

This can happen in other reports, not just Case Data reports, but the same concepts apply.

Subtables that have "One Row Per", or "Multiple Rows per Case/Matter", or similar in their name make a report one row per assignment, note, timeslip, etc.

For example: If you pull fields from the Case Data > Case Notes - Multiple Rows per Case subtable, and a case has 12 notes, then that case will "repeat" the case over 12 rows.

Tip 1: The Case Data >Timekeeping [Multiple Rows Per Case/Matter] subtable will produce one row for each timeslip on each cases, even if you don't pull fields from that subtable.

Tip 2: The Case Data > Person > Addresses (One Row per Address) subtable can pull a home and a mailing address on each case (for the client) causing two rows per case.

Case Data > Person > Primary Home Address will pull only one row per case. Same for Case Data > Person > Primary Mailing Address.

What Can You Do About It?

  • Delete the subtables if you don't need them.
  • Live withe extra rows, but if you still need to know how many cases are in the report, click the U icon to get a count of unique case numbers.
  • Look for a special field or subtable that concatenates or sums the information that would otherwise cause multiple rows into one cell in the report. The Case Data > Total Time for Case field, the Current Assignment List field, and so on.
  • Look for a custom column expression that aggregates the information you need in one of the ReportSQL articles.
  • Aggregate every field you pull from one of these subtables.
