Pathfinder - Users, Contacts, Organizations
This content is geared to agencies onboarding with LegalServer. While most of this content is timeless, relevant, and all around useful, not all of it will be applicable if you are currently live with LegalServer.
Users, contacts, and organizations are three different types of records that represent either people - users and contacts - or agencies, firms, courts, and medical providers in the case of organizations.

Users
Users are people who can be assigned to cases or who need to have time recorded, whether or not they log into your site. Many agencies set up their pro bono attorneys, who may never be allowed to log in, as users so they can be assigned to cases or have time recorded for them.
Where to Start
- Review your user create form- determine what values you will use in each lookup, if any additional information needs to be collected and what can be eliminated.
- Make the necessary customizations or communicate customizations to your LegalServer Onboarding Staff.
- Determine user roles and related permissions. This task should documentation on the end user roles are and related permissions for each.
- Confirm that imported user data appears as expected on your site. You may need to add fields to the respective profiles to see all the information.
Contacts
Contacts are people who are not clients, family members/non-adverse parties, or adverse parties. Some common uses of contacts include opposing counsel, judges, social workers, doctors, contacts in a funding agency or any other . There are a few special types of contacts that connect the contact record to other modules in LegalServer. For example, in the litigation module when inputting a judge, it will search contacts tagged with the 'Judge' contact type. Please be aware that while all users are contacts, contacts are not necessarily users unless they are created through the user creation process.
Where to Start
- Review your contact create form- determine what values you will use in each lookup, if any additional information needs to be collected and what can be eliminated.
- Make the necessary customizations or communicate customizations to your LegalServer Onboarding Staff.
- Create one of each special type of contact, including judge (if you are using litigations) or medical professional (if you are using the Medical/Legal Partnership tools).
- Confirm that imported contact data appears as expected on your site. You may need to add fields to the profiles to see all the information.
Organizations
Organizations are records for law firms, hospitals, courts, and agencies that you may refer cases to or accept referrals from, or any other entity that is not a person that you may want to record actions about. You can assign users to organizations (in the case of pro bono users who may work at a firm or another agency), assign a case to the organization, record referrals to or from an organizations, track donations and record referral information about the organization.
Where to Start
- Review your organization create form- determine what values you will use in each lookup, if any additional information needs to be collected and what can be eliminated.
- Make the necessary customizations or communicate customizations to your LegalServer Onboarding Staff.
- Create on of each special type of contact, including court (if you are using litigations), referring/referral (if you are tracking in and outbound agency referrals), medical provider (if you are using the Medical/Legal Partnership tools).
- Confirm that imported organizational data appears as expected on your site. You may need to add fields to the respective profiles to see all the information.
